How Polyp works

Built to fit
any business.

Every feature in Polyp is built from a small set of simple, composable ideas. Use only what you need — simple to start, powerful when you need it.

How it works 01 — 07
01 Group A container for organizing your clients.
organize with custom fields

A Group is a list of your clients with a name on it. That's it. Everything else in Polyp — schedules, attendance, progress — can attach to a Group so it applies to everyone in it at once.

Used as

Karate A belt-level class. Every white belt is in one group, every yellow belt in another.
Basketball A team. All athletes on the 14U squad belong to one group and share a training schedule.
Swim school A skill cohort. Beginners, intermediates, and advanced swimmers each have their own group.

02 Availability The times your business is open for booking.
your schedule repeats automatically

Availability is your open schedule. Set the days, times, and how many spots are open — then let clients book from what's available. Set it once and it repeats automatically. No rebuilding your calendar every week.

Used as

Karate Tuesday and Thursday evenings, 6–7 PM, open to 12 students per slot.
Speech therapy Therapist's weekly calendar — Mon/Wed/Fri, hour-long slots, capacity of 1.
Gym Open gym Saturday mornings, 8–11 AM. Clients claim a spot from available slots.

03 Resource A specialist, court, or tool a client selects when booking.
optional client picks at booking

Some bookings come with a choice. Which trainer. Which lane. Which machine. Resources let clients pick when they book. Once someone picks it, it's taken — no double-booking. Businesses that don't need this never see it.

Used as

Speech therapy "Choose your therapist" — each therapist is a resource with their own weekly schedule.
Gym "Choose a treadmill" — 12 treadmills, each its own resource, applied to all open gym slots.
Karate "Book a private lesson with Sensei Marco" — instructors are resources on Friday afternoons.

04 Session A scheduled interaction — a class, lesson, or appointment.
classes + appointments

A Session is the event itself — the class, the lesson, the appointment. It lives on a specific date and time, with specific people in it. When a session ends, it becomes a record. Who was there. When it happened.

Used as

Karate Tuesday's 6 PM class. All students in the white belt group are participants by default.
Basketball Wednesday practice. Coaches mark attendance after the session closes.
Speech therapy A 9 AM Thursday appointment. One client, one therapist, one session.

05 Check-in A record that a client attended a session.
one tap per person

A Check-in is one tap that says: this person was here. Over time, those taps become a history — streaks, patterns, total sessions. Check-ins also feed your Progressions automatically, so nothing falls through the cracks.

Used as

Karate Sensei marks each student present or absent after class using the Polyp app.
Basketball Coach opens session, taps each player. Latecomers are marked late, not absent.
Speech therapy System auto-checks in the client when the appointment starts. Therapist confirms.

06 Progression A rule set that watches attendance and advances clients automatically.
runs automatically group or individual

A Progression watches your clients as they attend. You tell it the rules — after how many sessions does something happen — and it handles the rest. Track everyone together, or follow each person at their own pace. You set it once and forget it.

Used as

Karate Individual: every 2 check-ins → belt tip earned. Every 5 check-ins → belt test scheduled.
Swim school Individual: after 8 lessons, swimmer is flagged for level advancement review.
Basketball Group: after 10 team practices, the whole squad moves to the next training phase.

07 Milestone A threshold inside a Progression that triggers a notification.
keeps clients enrolled

A Milestone is the moment worth celebrating. You name it, pick the number, and choose who hears about it — the client, the parent, your staff. It's the notification a parent gets that makes them text their kid "I'm proud of you." That moment keeps clients enrolled longer than any discount ever will.

Used as

Karate "Belt Tip" at 2 sessions → parent gets a push notification. "Belt Test Ready" at 5 sessions → instructor gets flagged.
Basketball "Season Halfway" at session 10 → coach receives a summary of each athlete's attendance streak.
Speech therapy "Goal Check" at session 6 → therapist is reminded to update progress notes for the patient file.

How it all fits together

Each piece feeds
the next one.

Each Polyp does one thing well. Together, they run your entire business. Start with a Group and a Session. Add Check-ins. Let a Progression do the tracking. Let a Milestone do the celebrating.

Everything else included

The CRM your
clients feel.

Underneath the scheduling and progression system lives a full client management platform. Relationships, payments, communication — all in one place, designed for people, not spreadsheets.

Activate & Track

Activate clients, track their payment cycle and history. See who's paid, who's due, and who needs attention — at a glance.

Pause & Remind

Pause a client's account with one tap. Polyp reminds you and your client when it's time to unpause — nothing falls through the cracks.

Programs

Enroll clients in structured programs. Sessions, check-ins, and progressions run automatically so you can focus on coaching, not admin.

Push Payments

Send a payment request directly to a client's phone. Cash, card, or free — full revenue reports and year-over-year tracking built in.

Cancel Clients

Remove a client from your active roster cleanly. Their history is preserved — reactivating them takes one tap if they come back.

Business Analytics

Monthly outlook, active vs. churned clients, revenue trends, and collection rates. Know the health of your business at all times.

The Polyp app

In their pocket,
in yours.

Your clients can do more.
You can do less.

When you're on Polyp, you're on the Polyp network. Let clients find you and subscribe on their own — or invite them directly so they can:

Schedule classes & appointments

Clients browse your available slots and book directly — no back-and-forth, no phone calls.

Register for subscriptions

New clients find your business, choose a plan, and subscribe on their own. You wake up to a new enrollment.

Manage their own information

Contact details, billing info, personal preferences — clients keep it updated themselves. Your records stay current without any effort on your end.

Message & announcements

Send messages or announcements directly to your clients through the app. No phone numbers needed, no group chats to manage.

Attendance tracking

Clients check in through the app when they arrive. You see who showed up in real time — no clipboards, no manual entry.
